Navigating the system as a Creator
- Go to PMR.ishango.co.uk and select sign in with Microsoft
- As a requisition creator you will be presented with the below on the home screen
Note the following options to navigate the system:
- The home button and the top left portion of the page will return you to the landing page. From anywhere within the system this will provide a quick route back to a familiar page.
- Catalogue search & the view catalogue button. Entering text here will search the catalogue. Alternatively, users can browse the catalogue by selecting the view catalogue button at the top of the screen
- The ‘Create New Requisition’ button will open the template for a new requisition with the step 1 (concerning the details of the requisition) and step 2 (concerning the items of the requisition).
- The account & settings option will show the below options. This is where the training material can be obtained as well as contact information for support. Note that the option to sign out is available at the bottom of this dropdown.
- The ‘Your History’ option in the top right will show requisitions that were once for your attention that have now been completed. This allows quick access to requisitions that have been completed in the past. For example, a creator may be raising a requisition very similar to one completed in the past and it may be useful to refer to the previous example held here.
- The Basked Icon in the top right. Once selected this icon will open the template for a requisition, however, any catalogue items that have been added to the basket will already be entered under ‘step 2’.
- The ‘My Queue’ and ‘Show all Requisitions’ options
- Selecting ‘my queue’ will only show requisitions for your attention of yourself. As a creator, this would be requisitions that have been submitted and are awaiting various approvals. Also, any requisitions that have been saved in a draft state will be shown here.
- Selection of the ‘show all requisitions’ option will show all requisitions across the system
- Especially useful when the ‘show all requisitions’ option is selected is the filtering options
- Make various selections from these filters and select apply a filter to see a narrowed-down list based on the details entered. Use the ‘Clear filters’ Button to remove all filtering terms at once.
Raising a requisition
Raising a requisition that entirely consists of catalogue items.
- From the home page select the view catalogue and add all required items to the basket.
- Use the type checkbox and category on the left to help navigate the catalogue. Alternatively, search for specific items using the search bar at the top of the system.
- Once all items needed have been added to the basket go to the basket icon on the top right of the page.
- Note that under step 2 all items entered into the basket appear. Should these all need to be removed select open basket followed by the ‘empty basket’ button as below.
- Enter all of the required requisition information under step 1 Including, Area, Work package name/number, delivery details, dates, assigned buyer purpose and attached any relevant documentation.
- Note the checkbox near the top to make a requisition as urgent
- Not all fields are mandatory for raising a requisitions only those marked with an *
- At any point the option to ‘Save as draft’ can be used to keep the requisition saved in its current state for completion at a later date.
- Select ‘clear fields’ to wipe al entries on the step 1 side of the page quickly
- When all of the required information has been entered the button to ‘submit’ will become selectable.
- Note that on this page the creator can quickly review the details of the requisition and on the bottom left a total value for the requisition is calculated for reference
- Select submit (This completes the process for raising a requisition from the catalogue as a creator)
Raising a requisition that consists of custom items
- Select ‘Create new Requisition’ from the top of the system
- This will also open the template showing steps 1 & 2 (Similar to opening the basket but this will open the template without any catalogue items being selected)
- To add custom items within a requisition select custom under step 2
- Enter a product description, quantity, unit, cost and choose if this is hire/purchase
- Use the ‘add new item’ to add additional items to the requisition
- Under step 1 enter the required information for the requisition Please refer to the above information as the information fields here are the same as when raising a requisition consisting of catalogue items.
- With all details entered under the custom item and step 1 select Submit (This submits a requisition for custom items.
- Please note that a custom item may require additional steps of approval
In some cases, a requisition may be partly made up of catalogue items as well as some custom items. Following the steps above it is possible to add custom items under step 2 when a requisition already contains catalogue items.
Passed back requisitions.
As well as submitting requisitions creators will also need to act on requisitions that have been passed back by the approver. This may be because the approver has noticed something that needs changing. The status of these requisitions will show as pass back. View the details of these requisitions to see the comments made by the approver when this was passed back. Select edit and re-submit the requisition once any changes have been made.
Accidentally submitted Requisitions
If an error has been noticed on a requisition that has been submitted make a note of the approvers in the ‘next step’ when viewing the requisition details. Any approvers here will be able to pass back or reject the requisition to stop it from progressing any further.
